Privacy Policy for Confflow Mobile Apps
Effective date: 1 January 2026
This policy explains how we process personal data in the Confflow Events and Confflow Admin mobile apps. Confflow Events helps registered event attendees view available events, attendee tickets, check-in QR codes, program items, published abstracts, venue information, program Q&A, sponsor logos, organizer announcements, local reminders, attendee messaging, chat requests, and networking features where enabled by the event organizer. Confflow Admin helps authorized event staff manage on-site operations, scan attendee QR codes, validate check-ins, view attendee information needed for event operations, moderate attendee content where enabled, and work with selected event data offline.

Data we process
Depending on the app and your role, we may process your email address, user identifier, organization or event access, event or order link, attendee identifier, attendee name, attendee email, ticket type, check-in QR payload, check-in status, badge print data, event details, program items, venue information, published abstracts, local reminder settings, program Q&A questions and moderation status, sponsor information, organizer announcements, announcement read/unread status, chat requests, direct messages, conversation read status, message reports, block settings, networking profile data, attendee profile reports, safety-filter metadata, push notification tokens and delivery metadata, and technical data needed for sign-in and app operation. The mobile apps do not create new event registrations or ticket purchases; they use existing web accounts and data created on the event website or in the event administration tools. If production error reporting is enabled, we may also process diagnostics such as app version, device type, error time, and technical crash information.
How we use data
We use data to authenticate users with a one-time email PIN, show events connected to a web account, order, attendee registration, organization, or staff role, display attendee tickets and check-in QR codes, support attendee check-in and badge printing, provide event program and abstract information, support program Q&A where enabled, save local reminders you choose, support limited offline use, show sponsor information, deliver organizer announcements and attendee messaging features where enabled, maintain unread/read status, send service push notifications, handle reports and blocks, moderate user-generated content, protect the service, provide support, and fix technical issues.
Messaging, user content, and push notifications
Where attendee messaging, program Q&A, chat requests, or networking features are enabled, messages, Q&A questions, chat request previews, profile text, photos, and similar attendee-provided content are user-generated content. Other participants in the relevant conversation, program session, event feature, or public/projector Q&A view may see that content according to the event configuration. Event organizers and authorized administrators may access reports, Q&A moderation tools, and moderation context when needed to enforce event rules, investigate abuse, protect users, or comply with legal obligations.
Users can report offensive messages from the conversation and can report or block an attendee from the attendee profile shown in the conversation. Program Q&A questions may be approved, unpublished, hidden, pinned, or marked as answered by event organizers depending on the event configuration. A block may prevent new one-to-one messages or chat requests between the affected users. Reports are reviewed in moderation tools that may allow authorized administrators to hide messages, clear networking profile content, resolve or dismiss reports, and disable attendee messaging.
Push notifications for chat requests and messages may include the sender's displayed first name and last-name initial, plus a short preview of the message. Organizer announcement push notifications may include the announcement title and a short preview. These previews can appear outside the unlocked app, including on a lock screen, notification center, connected watch, car display, or other device notification surface, depending on your device settings. You can manage or disable notifications in your device settings.
What the app does not do
The mobile apps do not include payments, in-app purchases, ads, marketing tracking, or location access. Confflow Events may request camera access only when you scan another attendee badge for networking or choose to take a networking profile photo, and may request photo library access only when you choose a networking profile photo. Confflow Admin may request camera access only to scan attendee badge QR codes during event check-in. Local program reminders in Confflow Events use on-device notification scheduling only when you choose to enable a reminder.
Storage on your device
The mobile apps store your sign-in session in secure device storage so you do not need to enter a PIN every time you open them. Depending on the app and your role, they may also store your selected event, synced event details, attendee records needed for event operations, check-in data, badge print data, program items, venue information, published abstracts, sponsor logos, ticket data, QR payloads, local reminder records, synced announcements, and synced messaging data for offline use.
Sharing data
We share data only with service providers that help us operate the app, authentication, database, hosting, push notifications, and diagnostics. Push notifications may be delivered through Expo Push Service, Apple Push Notification service, Firebase Cloud Messaging, or similar platform services depending on the app version and device. These providers process data according to our instructions or their platform terms. We do not sell personal data and do not use it for advertising tracking.
Retention
We keep data for as long as needed to operate the event, meet contractual and legal obligations, maintain service security, handle abuse reports and moderation, and provide support. You can end your local app session by signing out.
Your rights
You may request access, correction, deletion, restriction, or information about how we process your data. Contact us at events@confflow.com. For data connected to a specific event, we may need to involve the event organizer.
Changes
We may update this policy when the app or legal requirements change. The current version will always be available on this page.
