Terms of Service

These Terms govern access to and use of ConfFlow websites, applications, event pages, administration tools, and related services.

Effective date: 1 January 2026

These Terms of Service (the Terms) govern access to and use of ConfFlow websites, web applications, mobile applications, event landing pages, administration tools, APIs, and related services (the Services). By accessing or using the Services, you agree to these Terms.

1. Provider

The Services are provided by BHS Group s.r.o., a company incorporated in the Czech Republic (the Provider). Registered office: Petrovická 18, 100 00 Praha 10, Czech Republic, company ID: 26963051, VAT ID: CZ26963051 and contact: events@confflow.com.

2. The ConfFlow service

ConfFlow is a software platform for event management. It may include tools for creating event websites, registrations, ticketing, attendee management, check-in, agendas, sponsorships, exhibitors, accommodation, abstracts, invoicing, email communication, administration, and mobile companion experiences.

The exact features available to you depend on your account, plan, configuration, role, organization, event settings, and any written agreement with us.

3. Customers, organizations, and event attendees

ConfFlow is primarily a business-to-business software service. Our direct customers are usually organizations, event organizers, agencies, companies, associations, or institutions that use ConfFlow to manage their own events.

If you are an event attendee, buyer, sponsor, exhibitor, speaker, reviewer, or other end user interacting with an event page or mobile app, your relationship may also be with the organization that runs the relevant event. That organization is responsible for its event, event content, registration rules, ticket sales, refund rules, cancellation policy, tax documents, attendee communications, and compliance with laws that apply to the event.

Unless expressly stated otherwise in writing or at checkout, the Provider provides the software platform and is not the organizer, seller, merchant of record, travel provider, accommodation provider, sponsor, exhibitor, or contracting party for the event itself.

4. Accounts and access

You must provide accurate information when creating or using an account. You are responsible for keeping login credentials secure and for all activity under your account, organization, or assigned user role.

Organization administrators are responsible for inviting users, assigning permissions, managing event settings, reviewing content, and ensuring that only authorized persons have access to personal data, billing settings, event data, and administration tools.

5. Plans, fees, and payments

Some Services may be free, and some may require paid plans, subscriptions, usage-based fees, transaction fees, setup fees, or other charges. Prices, billing cycles, included features, limits, and payment terms may be stated on our website, inside the Services, in an order form, or in a separate written agreement.

Where paid plans or platform fees are enabled, payments may be processed through Stripe. By paying through Stripe, you may also be subject to Stripe's terms and privacy documentation. You authorize us and our payment providers to charge the applicable fees, taxes, and other amounts using the payment method you provide.

Unless stated otherwise, fees are inclusive of 21% Czech VAT. You are responsible for other taxes, duties, bank charges, and other costs associated with your use of the Services.

6. Event sales and payments by organizations

Organizations may use ConfFlow to sell or manage event registrations, tickets, sponsorships, exhibitor packages, accommodation, or other event-related items. The organization is responsible for describing what is being sold, setting prices, collecting required consents, issuing tax documents where required, handling customer support, refunds, cancellations, complaints, chargebacks, and fulfilling the event-related obligations.

ConfFlow may provide technical integrations with payment providers, invoicing tools, and event checkout flows. These integrations do not make the Provider responsible for the event organizer's products, services, tax obligations, refund policy, or legal compliance unless we expressly agree otherwise in writing.

7. Acceptable use

You must not use the Services to:

  • violate applicable law or third-party rights;
  • publish unlawful, misleading, harmful, discriminatory, or infringing content;
  • harass, threaten, impersonate, spam, or abuse other users, attendees, organizers, staff, speakers, sponsors, or exhibitors;
  • send unwanted, offensive, illegal, sexual, violent, hateful, discriminatory, or otherwise abusive user-generated content through attendee messaging, chat requests, networking profiles, or similar features;
  • send spam or unauthorized marketing communications;
  • interfere with security, availability, integrity, or performance of the Services;
  • attempt to access accounts, data, systems, or APIs without authorization;
  • upload malware or conduct scraping, credential stuffing, or abusive automation;
  • misrepresent your identity, organization, event, ticket, or relationship with us.

8. Customer content and event data

You retain ownership of content and data that you or your organization submit to the Services. You grant us the rights necessary to host, process, display, transmit, back up, secure, and otherwise use that content and data to provide and improve the Services.

You are responsible for ensuring that you have the rights, consents, notices, and legal bases required to upload, publish, or process content and personal data through ConfFlow.

9. User-generated content and moderation

Some Services may allow attendees, organizers, speakers, sponsors, exhibitors, or other users to create or send user-generated content, including chat requests, direct messages, networking profiles, profile photos, biographies, questions, reports, or similar content. You are responsible for the content you submit and for ensuring that it complies with these Terms, event rules, and applicable law.

We and the relevant event organizer may provide reporting, blocking, content hiding, deletion, attendee availability, and moderation tools. We may review reported content and related conversation or profile context when needed to investigate abuse, protect users, enforce these Terms, support event organizers, or comply with legal obligations.

In mobile attendee chat, users can report offensive messages from the conversation and can report or block an attendee from the attendee profile shown in the conversation. Blocking an attendee may prevent new one-to-one messages or chat requests between the affected users. Abuse reports may also be sent to events@confflow.com.

We or the relevant event organizer may hide, delete, restrict, suspend, or disable access to content, messaging, networking, accounts, attendees, or events if content is reported, violates these Terms or event rules, creates safety or legal risk, or may harm other users or the Services.

Mobile push notifications for messaging features may include the sender's displayed name and a short preview of the message. Notification display is also controlled by the recipient's device settings and platform notification services.

10. Intellectual property

The Services, software, design, user interface, documentation, templates, trade names, trademarks, and related intellectual property belong to the Provider or its licensors. These Terms do not transfer any intellectual property rights to you except for the limited right to use the Services according to these Terms.

11. Third-party services

The Services may integrate with third-party services, including payment, email, hosting, authentication, analytics, invoicing, domain, and storage providers. Third-party services are governed by their own terms and privacy documents. We are not responsible for third-party services except where required by law or expressly agreed in writing.

12. Data protection

Our processing of personal data is described in our Privacy Policy. Where we process personal data on behalf of an organization, the organization is the controller and we act as processor under the applicable data processing agreement or written instructions.

13. Service availability and changes

We work to keep the Services available and reliable, but we do not guarantee uninterrupted or error-free operation. We may update, change, suspend, or discontinue parts of the Services, including to improve functionality, maintain security, comply with law, or address operational needs.

14. Suspension and termination

We may suspend or terminate access to the Services if you breach these Terms, fail to pay applicable fees, create legal or security risk, misuse the Services, or if required by law. You may stop using the Services at any time. Subscription cancellation, data export, and deletion rights may depend on your plan, agreement, and applicable law.

15. Disclaimers

The Services are provided on an "as is" and "as available" basis to the maximum extent permitted by law. We do not guarantee that the Services will meet every requirement, achieve a particular business result, or be suitable for every event, legal framework, tax regime, or operational process.

We do not provide legal, tax, accounting, event safety, insurance, travel, medical, or financial advice through the Services. Organizations are responsible for obtaining their own professional advice where needed.

16. Liability

To the maximum extent permitted by law, the Provider is not liable for indirect, incidental, special, consequential, punitive, or loss-of-profit damages, loss of revenue, loss of goodwill, loss of data, event cancellation losses, attendee claims, or third-party claims arising from an organization's event, content, ticket sales, refund policy, or legal obligations.

Nothing in these Terms excludes liability that cannot be excluded under applicable law.

17. Changes to these Terms

We may update these Terms from time to time. The current version will be available on this page. If changes are material, we may notify customers through the Services or by email. Continued use of the Services after the effective date of updated Terms means acceptance of the updated Terms.

18. Governing law and jurisdiction

These Terms are governed by the laws of the Czech Republic, without prejudice to any mandatory consumer protection rules that may apply. Unless mandatory law provides otherwise, disputes will be resolved by the competent courts of the Czech Republic.
